Arizona Private Tours Policies, Terms & Conditions:

We take special care in crafting each tour to align with your unique intentions and desires, providing the highest quality service. Once we receive your reservation, our team begins preparing your personalized tour and reserves time in our guide’s schedule to accommodate you. To ensure we can provide exceptional service and respect the time of our guides and other clients interested in our tours, please review the following policies.

We understand that plans can change. If you need to cancel or reschedule your tour, please notify us as soon as possible to avoid charges. We recommend purchasing travel insurance with trip protection through an insurance provider in the event of unexpected cancellations or rescheduling fees.

Cancellation Policy:
For cancellations made more than 72 hours in advance, you will receive a full refund. Cancellations made between 72 and 48 hours prior will receive a refund minus 50%. Cancellations made within 48 hours of the booking are non-refundable, though rescheduling may be possible as outlined in our Rescheduling Policy. In the event of company cancellation due to inclement weather, please refer to our Inclement Weather Policy for more details.

 

Rescheduling Policy:
Please contact us as soon as possible if you need to make changes to your reservation. There is no charge for rescheduling more than 48 hours in advance. For changes made with less than 48 hours’ notice (excluding those covered by our Inclement Weather Policy), a $100 fee will apply. If we are unable to accommodate your request and you need to cancel within 48 hours of your tour, our cancellation policy will apply.

 

Late Arrivals Policy:
To ensure you enjoy your full tour, please plan ahead and allow enough time to arrive on time for your scheduled tour. Please keep in mind that other tours may be scheduled after yours, and we cannot offer reimbursement for any time missed if you arrive late.

 

Inclement Weather Policy:
If inclement weather, such as lightning or heavy snowfall, poses a safety risk for any outdoor tour, we will cancel the booking. You will then have the option to receive a full refund or reschedule for an alternative time, with the rescheduling fee waived. However, if you choose to cancel due to weather conditions not covered by this policy, our Cancellation & Rescheduling Policy will apply.

Terms of Participation and Responsibility

Terms of Participation and Responsibility

Participants are responsible for their own transportation to and from the trailhead, except for transportation-inclusive tours. Arizona Private Tours is not liable for any travel-related issues. Tours take place outdoors, where inherent risks and hazards exist. Participants must be able to navigate varied terrain, including paved, gravel, and dirt paths, as well as uneven ground with rocks, at an elevation of 4,200 feet.

The route and destination will be customized based on the information provided in your Participant Form, taking into account your preferences and physical abilities. If you have concerns about your ability to participate, please consult your doctor. Our guidance is not a substitute for professional medical or psychological advice.

Booking and Payment

Booking and Payment

To secure your reservation, payment by credit card is required at the time of booking. We offer a split payment option or multiple installments for a 2.8% processing fee. You can divide the total amount between members of your group or process additional installments on the same card, with up to two installments available. The initial payment is due at the time of booking, and the full balance must be paid 10 days before your first scheduled tour.

The cost of your tour is covered by your reservation. Additional fees may apply for rescheduling or cancellations as outlined in our “Cancellation & Rescheduling Policy,” as well as for changes to the number of participants, adjustments to the tour duration, add-ons, accommodation requests, transportation requests, or extended travel.


Gratuity is optional and not included in the payment price but appreciated for exceptional service.

Participant Responsibility and Liability:
Arizona Private Tours (APT) and its representatives are not liable for any injuries, damages, or losses that may occur before, during, or after the tour. Participants must inform guides of any medical conditions that may affect their participation. Participants are responsible for their own safety and well-being,


Participants may be recorded or photographed for marketing or promotional purposes; if you prefer not to be included, please inform your guide in advance.
All minors under the age of 18 must be accompanied by a parent, legal guardian, or adult chaperone.


Arizona Private Tours does not offer refunds or credits for canceled flights or trip interruptions. We recommend purchasing traveler’s insurance and booking your tour on a date that occurs at least one-two days after you arrive. Please contact our office if you have any questions.
Arizona Private Tours shall not be held responsible for any inconvenience, loss, injury, or damage that results from the acts or omissions of any company or person operating such attractions.


Arizona Private Tours reserves the right to alter itineraries, routes, pickup times, and locations due to conditions beyond our control, such as traffic, road closures, construction, weather, and safety considerations.


Arizona Private Tours may cancel a tour for unforeseen circumstances beyond our control such as inclement weather or force majeure. If this occurs, you will be given the option to reschedule or receive a refund.


Arizona Private Tours is not responsible for any items damaged, lost, or left behind in tour vehicles, or during transportation. Please keep personal belongings with you at all times. If an item is found in a vehicle after a tour, we will make a reasonable effort to return it, but we cannot guarantee recovery or shipping.


Arizona Private Tours Guides & Drivers are permitted to refuse service to any individual who is intoxicated, disruptive, or poses a safety risk to themselves or others. Any damage caused to the vehicle by a participant may result in financial responsibility for repair or cleaning costs.
